We are currently recruiting an administrator to join our team in Charleville, Co.Cork.
This role is pivotal in ensuring the smooth operation and delivery of electrical works, while also driving performance, safety, and cost efficiency.
Responsibilities:
Administration
- Review documentation submitted from the electricians to ensure it is complete & compliant and upload to the nominated Sharebox platforms.
- Ensure Notice of Potential Hazards are complete, and all necessary documentation and photographs are included.
- Upload files to Maximo in a timely manner as directed.
- Respond appropriately to email communication or phone calls from electricians in a timely manner.
- Ensure copies of documents are correctly filed with correct naming conventions and uploaded to W&B’s platform daily.
- Ensure the electronic timesheets with GPS location are completed correctly in real time and submitted to you daily from the electricians.
- Support the team with dispatching sites to the teams, working on Maximo, uploading to Sharebox, gaining access to sites and working with IMT’s on access requests.
Documentation and Record Keeping
- Record Maintenance: Maintain accurate and up-to-date records of all contracts, projects, compliance documents, and financial transactions related to the electrical framework.
- Maximo: Ensure all required steps from receipt of the Work Order to uploading of the necessary documentation to successful billing are completed on UE’s Maximo system.
- Data Analysis: Analyse performance data to identify areas for improvement and efficiency within the electrical framework.
- Electronic Timesheets: Ensure electronic timesheets with GPS location are completed in real time and submitted to you daily.
Project Coordination
- Scheduling and Coordination: Coordinate between site managers and W&B electrical teams to ensure timely delivery of electrical services. This includes planning and scheduling inspections maintenance, and repairs.
- Assist: electrical teams as required to resolve issues with use of the Hand Held Units and uploading of reports Thermal Imaging and Geopal uploading.
- Performance Monitoring: Track performance metrics for electrical teams to ensure they meet service-level agreements and key performance indicators.
- Cost Control: Monitor budgets and provide cost-effective solutions to control costs.
Stakeholder Communication
- Internal Liaison: Act as a liaison between project teams, suppliers, and management to ensure alignment on project objectives, timelines, and performance.
- Client Communication: Ensure that client requirements are met and that any updates or changes are communicated promptly to stakeholders.
Innovation and Continuous Improvement
- Process Improvement: Identify and implement process improvements to optimize the performance and cost-effectiveness of electrical works under the framework.
- Technology Adoption: Explore and recommend the adoption of new technologies, tools, or methodologies to enhance the efficiency and safety of electrical services.
Requirements:
- The successful candidate will need to be competent in the use of Maximo.
- Fluent in English orally and in writing.
- Excellent time management and organisational skills.
- IT proficient.
- Excellent attention to detail and strong analytical ability.
Salary: €40,000 plus benefits
